Prerequisites

Access File Manager

Navigate to Files or Documents from the main menu. You'll see a file explorer interface with: Folder structure on the left, File list with previews in the center, File details and actions on the right, Upload and search functions at the top. Your files are stored securely in the cloud with automatic backups.

Pro Tips

  • Files sync across all devices
  • Access files from mobile app

Create Folder Structure

Organize files with a logical folder hierarchy: By client or project name, By document type (Contracts, Invoices, Reports), By department (Sales, Operations, Finance), By year and month for time-based organization. A well-organized structure makes files easy to find.

Pro Tips

  • Keep folder depth under 4 levels
  • Use consistent naming conventions
  • Create templates for common folder structures

Upload Files and Documents

Upload files in multiple ways: Drag and drop files from your computer, Click Upload and select files, Bulk upload entire folders, Email files directly to your Nubeso account. Supported formats include: PDF, Word, Excel, images, videos, and more.

Pro Tips

  • Compress large files before uploading
  • Upload files in batches
  • Verify uploads completed successfully

Link Files to Records

Attach files to related records for context: Link contracts to client profiles, Attach receipts to expense records, Add product images to inventory items, Include supporting documents on projects, Attach signed agreements to invoices. Linked files are accessible from both locations.

Pro Tips

  • One file can be linked to multiple records
  • Use linking to reduce duplicate files

Set File Permissions

Control who can access each file or folder: Public (anyone with the link can view), Team (all team members can access), Private (only you and selected people), Custom (set specific permissions per user). Permissions can be set at the file or folder level.

Important Warnings

  • Review permissions regularly
  • Never share sensitive files publicly
  • Remove access when team members leave

Share Files with Clients

Securely share files with clients and external partners: Generate a secure sharing link with optional expiration date, Set download permissions (view only or download), Require password for sensitive files, Track when files are viewed or downloaded, Get notifications when clients access files.

Pro Tips

  • Use expiring links for time-sensitive documents
  • Password-protect confidential files
  • Include context when sharing

Use File Versioning

Never lose work with automatic version control: Previous versions are saved when files are updated, View version history to see who changed what and when, Restore previous versions if needed, Compare versions side by side. Version control prevents accidental data loss.

Pro Tips

  • Name versions clearly (v1, v2, FINAL)
  • Delete very old versions to save space

Search and Filter Files

Find files quickly with powerful search: Search by filename, content, or tags, Filter by file type, date, or owner, Save frequent searches for quick access, Use advanced search with multiple criteria. The search indexes file contents for comprehensive results.

Pro Tips

  • Tag important files for easy filtering
  • Use specific keywords in searches

Enable File Requests

Request files from clients without giving them access to your system: Create a file request for specific documents, Send the request link to clients via email, Clients upload files directly to your account, Receive notifications when files are uploaded. Great for collecting contracts, forms, or required documents.

Pro Tips

  • Specify exactly what files you need
  • Set deadlines for file submissions
  • Send reminders for pending requests
