Creating Your First Invoice

Complete step-by-step guide to create, customize, and send your first professional invoice with Nubeso.

Prerequisites

  • Account setup complete
  • At least one client added
  • Products/services configured

Navigate to Billing Section

From the main navigation menu, click on "Billing" or "Invoices". This will take you to the invoice management dashboard where you can view all your invoices, track payments, and create new invoices. The dashboard shows invoice statistics including total revenue, pending payments, and overdue invoices.

  • Bookmark the billing page for quick access
  • Review existing invoices to understand the layout

Click New Invoice

Click the "New Invoice" or "+ Create Invoice" button, usually located in the top right of the billing dashboard. A new invoice form will open with all the fields you need to complete. The invoice number is automatically generated based on your settings.

Pro Tips

  • Invoice numbers are sequential by default
  • You can customize the invoice number format in settings

Select or Add a Client

Start typing the client name in the "Client" field to search existing clients, or click "Add New Client" to create a new client profile. For existing clients, their saved information (address, email, payment terms) will auto-fill. For new clients, enter: Client name, Email address, Billing address, Phone number (optional). Client information can be saved for future invoices.

  • Use the CRM section for detailed client management

Add Line Items

Add products or services to the invoice by clicking "Add Line Item" or selecting from your product catalog. For each line item, specify: Product/Service name, Description (optional but recommended), Quantity, Unit price, Tax rate (if applicable). Nubeso automatically calculates line totals, subtotals, taxes, and the final amount.

  • Save frequently used items to your catalog for quick selection
  • Be detailed in descriptions for client clarity
  • Bundle related items for cleaner invoices

Set Due Date and Payment Terms

Select the invoice due date from the date picker. Common options include: Due on receipt, Net 15 (due in 15 days), Net 30 (due in 30 days), Net 60 (due in 60 days), Custom date. Payment terms can be saved per client for consistency. Add any specific payment instructions or late fee policies.

  • Net 30 is standard for B2B transactions
  • Clearly communicate payment terms upfront
  • Set automated reminders for approaching due dates

Apply Taxes and Discounts

Taxes: Your configured tax rate is applied automatically, but you can override it per invoice if needed. You can add multiple tax rates if applicable. Discounts: Add percentage-based discounts (e.g., 10% off) or fixed amount discounts (e.g., $50 off). Apply discounts to individual line items or the entire invoice. Add notes explaining the discount reason.

  • Ensure tax calculations comply with local regulations
  • Document the reason for discounts for accounting purposes

Preview and Customize

Click "Preview" to see exactly how your invoice will look to the client. Review all information carefully: Client details and address, All line items, descriptions, and prices, Tax calculations, Discount amounts, Total amount due, Payment terms and due date, Your business logo and information. You can add custom notes, thank you messages, or special instructions at the bottom.

Send or Download Invoice

You have several options to deliver the invoice: Email: Send directly to the client's email address with a personalized message. Download PDF: Save the invoice as a PDF to print or send separately. Payment Link: Generate a Stripe payment link for instant online payment. Share Link: Create a shareable link to the invoice in the client portal. The invoice status automatically updates when the client views or pays it.
